SAP StreamWork and Google Docs integration help Manna on Main Street support the community

Editor's Note: This is a guest blog post from Tom Allebach, Executive Director for Manna on Main Street, a community service organization that serves the needy in the greater North Penn community outside of Philadelphia, Pennsylvania (USA).

Manna on Main Street was founded in 1981 and provides a soup kitchen, food cupboard, and a variety of other programs to help individuals in need. Our vision for Manna on Main Street is "that everyone might be fed." As we need to have every dollar possible directed to helping people, software to support our organization needs to be affordable, work with our existing applications, and be easy to access and use for our staff and 1000 volunteers.

Two solutions that have changed the way we work with our volunteers are Google Docs for creation and sharing of documents, spreadsheets, and presentations, and SAP StreamWork, a collaborative decision making application available from the Google Apps Marketplace. They have access whether they're in a soup kitchen, the office, home, or on the go. These tools have helped Manna on Main Street to work more efficiently and collectively, thus allowing us to create and deliver more programs to help those in need.

After experiencing the value of Google Docs, we learned about the integrations with SAP StreamWork through the Google Apps Marketplace. With SAP StreamWork, we can apply structure to our discussions including tracking activities, pro/con tables, SWOT analyses, send out e-mail alerts and polls to drive fast, meaningful results. It provides a way for our staff to connect with the board of directors and supporters for key committees, and has many features for managing private, directed activities that drive participation, planning, and decisions with our volunteers. Like Google Docs, it’s easy to use and has been adopted by participants with varying levels of technology experience.

Google Docs is integrated directly into SAP StreamWork, making it even easier for Manna on Main Street and its volunteers to work seamlessly, collectively, and from anywhere. With these new capabilities our board of directors and building and resource committees are now driving a fundraising program to help Manna move to a new facility, dramatically increasing our ability to feed and serve more people in need.

We realize that much work remains to be done to continue to serve those in need, and we continue to give thanks to all of you who help in that service. We also thank Google and SAP for helping small organizations with big goals such as ours.

With dozens of Marketplace accounting and finance apps, you can customize solutions to your business’s specific needs. Each application integrates with Google Apps and provides single sign-on convenience and access through the Google universal navigation bar.

For example, here’s one way your business might cut down the work of tax season this year by using Marketplace apps to organize financial documents, streamline invoicing, and aggregate accounting information.

Digitize your important documents
If you’ve been putting off the tedious task of organizing your receipts, Shoeboxed can help. Send your receipts to them inside a provided postage-paid envelope and within a few days, Shoeboxed will transform your paper clutter into a secure, searchable, IRS-accepted online database. Shoeboxed also offers a variety of export options and integrates with various tax applications. By using Shoeboxed now, you can get your receipts in order before the April 15th tax deadline.

Simplify invoicing and billing to easily monitor cash flow
It’s also easy to seamlessly manage your accounts payables and receivables with the Apps Marketplace. For example, Harvest helps you create and track invoices and set up retainers for clients and projects. Other features such as multi-currency support, automated reminders and online payment help you get paid faster. Harvest also offers a contextual gadget in Gmail to streamline invoicing activities.

Prepare your finances for tax time
When it comes to aggregating your financials to prep for tax time, there are several options, including Outright. Outright automates the accounting process, provides key financial reports and tracks where your money is going by integrating with Google Apps, Shoeboxed, Harvest, your bank account and other sources. At tax time, Outright calculates any estimated taxes you owe and pre-populates your annual tax form, the IRS Schedule C. It also provides helpful alerts that integrate into your Google Calendar to keep you apprised of upcoming deadlines.

In addition to Shoeboxed, Harvest and Outright, the Apps Marketplace offers your business many other applications that can satisfy your accounting and finance needs.

SAP joins the Google Apps Marketplace with SAP StreamWork

Editor’s Note: This is a guest blog post from David Meyer, senior vice president for On-Demand, Productivity and Sustainability Solutions at SAP, the leading business software vendor to more than 100,000 customers in over 120 countries.

What did I miss at the last meeting? Why do I have seven different copies of a spreadsheet named “Final Version”? Where should we host the next event? These are all questions and problems that can easily be resolved through a new way of working in the cloud available through the integration of Google Apps and SAP StreamWork, now available in the Google Apps Marketplace.

SAP StreamWork brings together people and information - from the web, your desktop, or business systems - and applies structure to discussions with business tools including pro/con tables, SWOT analyses, and polls to drive fast, meaningful results. Think about how easy it can be to allocate resources, prioritize sales leads, or define new marketing campaigns in a single, well-organized location. With Google Apps integration, the SAP StreamWork environment will be joined with the tools you are already familiar with in the cloud.

SAP StreamWork will work with OpenID so you can use your Google Apps login to access your SAP StreamWork account and navigate to it through the Google universal navigation bar. Additionally, Google Apps will also be accessible directly from SAP StreamWork, providing you with the ability to use Google’s calendaring, email and document creation and management tools as part of your problem-solving process in SAP StreamWork. Direct integration will be available for users in the first part of 2011.

In joining the Google Apps Marketplace, we see a great opportunity to reach over 3 million Google Apps businesses who have already embraced the cloud and we invite them to try out SAP StreamWork.

Join us for a live webinar and Q&A session with Google and SAP at 11am on December 14th demonstrating the SAP StreamWork integration with Google Apps and discussing best practices for making decisions faster with distributed teams.

Expanding the Google Apps Reporting API for resellers

Cross-posted on the Google Apps Developer Blog

The Google Apps Reporting API lets administrators programmatically get information about their Google Apps environment, and today we're expanding access to the API for Google Apps Authorized Resellers. Resellers can use the API to gain a better understanding of how their customers are using Google Apps, so they can better personalize the service they provide to their customers.

Specifically, resellers can retrieve the following usage reports with the API:
  • Accounts – Contains a list of the customer’s end-user accounts on a particular day.
  • Activity – Identifies the number of customer end-user accounts as well as the number of active and idle accounts over several different time periods.
  • Disk Space – Shows the amount of disk space used by a customer’s mailboxes.
  • Email Clients – Identifies how the customer’s end-users access their accounts on a day-by-day basis.
  • Summary – Contains the customer’s total number of accounts, total mailbox storage usage and total mailbox quota.
The Reporting API is one of several features we’ve been working on to let Google Apps resellers – over 2,000 and growing – understand and serve their customers better. If you’re an IT solution provider, we invite you to learn more and get started building a practice around bringing Google Apps to your customers. The Google Apps Authorized Reseller program is designed to help you enhance and strengthen your customer relationships.

Google Apps Marketplace helps students’ minds thrive in the cloud

We started the Google Apps Marketplace with the goal of helping businesses find even more value in the cloud. Universities and schools are also moving aggressively into cloud computing for both internal infrastructure applications and apps for students. We have seen excellent uptake by education edition users of a wide range of apps, including Aviary, Manymoon, SlideRocket, SurveyMonkey, TripIt, OffiSync, and Sherpatools, just to name a few.

In addition to the many apps that have been used to enhance learning experiences, we recently introduced the first education-focused app, Grockit, to the Marketplace. We are excited to see the demand for these types of apps grow and we hope to build on the momentum created by apps that have been helping schools move to the cloud. Here are just a few examples of how Marketplace apps are currently being used in the classroom:
SlideRocket - Platform for creating, managing, sharing and measuring presentations
“You can see the impact [of cloud-based learning] in a research project some students did with the Glacier National Park in Montana. Students started by gathering their data through “building tools” such as Google Docs. Then students used that cloud-based data to collaborate with peers inside of SlideRocket, building a coherent presentation from scattered sets of data. Finally, they used Google Earth to embed the SlideRocket presentation into a place marker within the park, giving everyone access to their work. With this advancement in edtech, students across the school can discover various geo-referenced SlideRocket presentations as they virtually fly around the globe, learning and providing feedback… teachers are constantly wow’ed by the new capabilities…”
- John Kuglin, Senior Tech Consultant & Former Associate Dean, Univ of Montana
Manymoon - Team collaboration and project management application
“At Le Moyne College... class assignments, relevant media, documents, student discussions and papers are all posted on Manymoon... All e-mails, documents, links etc are in one place and easy to find... which saves lots of time for me and my students. Manymoon and Google Apps are useful for connecting my students with others in the wider community. This semester, for instance, my Le Moyne College students are using Manymoon to work with college and high school students on a Juvenile Justice Experiential Education collaboration which involves more than 200 students from local universities and high schools. This is made possible by Manymoon and the suite of Google Apps.”
-Jim Dessauer, Adjunct Associate Professor in Sociology at Le Moyne College

The introduction of Grockit is our most recent step to help schools and universities discover and deploy relevant applications from our Marketplace. Grockit is a social learning platform for students in K-12 and for college entrance exams. They were eager to join the Marketplace because of the 8 million students that currently use Google Apps. Through Grockit integrations with Apps, students can now easily access their Grockit account through the universal navigation bar, sync training sessions with Google Calendar and store critical documents in Google Docs.

"The response from School Administrators has been outstanding. Each day we are contacted by a new school that is thrilled Google has begun adding educational apps to the marketplace and they have access to Grockit’s learning platform through it. They are already asking how they can make Grockit available to their students beyond this school year. We are stoked that educators see the additional value they provide their students when they are able to combine the benefits of Google and Grockit together."
-Farb Nivi, Founder and CEO of Grockit

We are constantly seeking to bring applications that our customers want to the Marketplace, so help us out by suggesting apps you think would be good for the Marketplace. In the meantime, check out the Google Apps Marketplace and get your head in the cloud:

JibJab helps visitors find their online funny bone with Google Site Search

Editor’s note: Today’s guest post comes from Chris Poe, Engineering Director at JibJab Media. JibJab.com is a digital entertainment studio that creates, produces and distributes humorous online content. From offbeat eCards to personalized videos and satirical viral videos, JibJab is on a mission to help more people share more laughs than any other company in the history of the world.

We could all use a good laugh from time to time. Which is why we’re thrilled to announce that, as of today, search on JibJab.com is powered by Google Site Search, making it even easier for our visitors to explore and find their favorite funny items:

In evaluating a website search engine, we chose Google Site Search for its ability to help users find the perfect eCard or video, fast, while allowing our developers to control the look and feel of the results. We also appreciated the fact that Google Site Search provided XML results for full customization of each search query, and gave us a hands-free search solution that requires little-to-no custom maintenance.

This, hopefully, will allow our visitors to find more of what they’re looking for on our site - good laughs!

Go-Go (Gmail contextual) Gadgets - get more done right from your inbox

The email inbox has become the hub for most people’s business day. With Gmail contextual gadgets, available in the Google Apps Marketplace, instead of having to open additional applications to take action or get more information, these applications intelligently bring what you need right into your inbox. Gmail contextual gadgets scan for triggers, such as names or purchase order numbers, within a message and present relevant actions in-line with the email. Attend our webinar on Sept 8th to learn more about this feature. Here are a few examples of the wide range of applications that offer Gmail contextual gadgets in the Marketplace.

Customer management (CRM) solutions are one of the most sought after applications in the Marketplace. The newly launched Solve360 contextual gadget demonstrates the advantages of having access to CRM information within a message. Alongside each Gmail message, Solve360’s gadget shows off a clean, at-a-glance view of everything your team knows about the person behind the message. Before taking further action, you can examine the customer’s previous interactions and special considerations. Advanced customer management is now no more complicated than a few extra clicks inside an email exchange with a client.

Video Demonstration

Tracking time can be quite cumbersome for employees and businesses, so Harvest has developed a web-based solution for managing your timesheets. With Harvest for Google Apps, entering time is as simple as filling out a timesheet right within Gmail. Harvest sends automatic reminder emails to employees to fill out relevant timesheets. With contextual gadgets, these emails display the recipient’s timesheet right below the body of the message so users can fill out and submit their timesheet without ever leaving their inbox. Bringing this crucial task right into your email takes out unnecessary steps and helps you save time and stay on track.

Video Demonstration

Smartsheet, a popular project management solution, offers integration across various Google Apps products. With their Gmail contextual gadget, any email that references a Smartsheet item allows task management right from your inbox. This functionality is interactive with your daily needs - as Smartsheet tracks project progress, if it detects a change in status based on your parameters, it will deliver an email to your inbox. Right from that email, you will be able to fully assess and edit each aspect of the project. The volatility of project management just got that much smoother.

Video Demonstration

Gist demonstrates how deeply rooted and useful social networks have become. This application delivers social media in a way that changes how you manage relationships. Gist removes the noise from individual email alerts, eliminates the hassle of going to multiple services for updates, and automates the delivery of the most important information about the contacts in your professional network. With their Gmail contextual gadget, you can better understand the context of each email without any extra work and better frame your actions. Valuable social information is available to you exactly where you need it - your inbox.

These are just four of the applications in the Google Apps Marketplace that have taken Gmail contextual gadgets to the next level. For more contextual gadgets, check out:

Editor’s note: Today’s guest writer is Timothy Moore, Website Manager for Bay Area Rapid Transit (BART). Here he discusses how they use Google Maps API Premier v3 to power searches and biking directions on BART.gov. BART serves the San Francisco Bay Area covering 4 counties, 43 stations, 104 miles (167 km) of track, and has an average weekday ridership of 335,000 passengers. It is the 5th busiest heavy rail rapid transit system in the U.S.

Recently the BART website (www.bart.gov) launched some cool new trip planning services, including bicycle directions and station area points of interest, using the Google Maps API. The BART QuickPlanner is one of the most popular features on our website. If you live in the Bay Area, chances are you’ve used it. The QuickPlanner has traditionally offered a mix of BART trip plans, directions for walking and driving to the station, connecting transit information, carbon savings and more.

We're always looking for ways to improve the QuickPlanner, so when Google Maps started offering bicycle directions we were green with envy. Our latest research shows that only 4% of BART customers ride a bicycle from their home to a station. With ongoing cuts to connecting transit services and many BART station parking lots filled to the brim, adding bicycling directions to the QuickPlanner will help us promote the option to more than a million website visitors every month.

Frankly we've struggled with the integration of other mapping products into our custom-built BART scheduling application; weak documentation, limited real-world examples, and cumbersome programming requirements. Developing with the Google Maps API was a whole different world. As our lead programmer, Robert Falconer, noted, "It was easy to learn and quick to implement. And the ability to use free-form input terms for addresses, locations and points of interest was a major plus.”

If you've ever had to trap address or landmark input errors you know what he’s talking about. For example, if a user enters in “Frrey Blding” to the QuickPlanner, Google's geocoding service can recognize the user's intent and return the proper term "Ferry Building" with the correct corresponding address. All of this is done seamlessly behind the scenes so that all user sees is the address they are looking for when their trip is mapped out.

Again, using the Google Maps API, we’re able to provide more information about points of interest near BART stations, including directions. If you visit the neighborhood map section you can now use freeform search for station area destinations, and we’re no longer limiting you to searches based on standard address formats or a preset pull down menu. We also use the Google Maps API for services like “Find Closest Station” and for the map images presented on our station landing pages.

Overall this was a really fun project for us. I hope our use of the Google Maps API on bart.gov will encourage more bicycling to BART and I also hope people will use it to discover all of the awesome things that BART station area neighborhoods have to offer.

Google Earth Enterprise 4.0 now available

The Google Earth Enterprise team has long focused on bringing the innovative features of Google Earth and Maps to businesses, enabling them to create their own mapping applications from their existing data archives. Over the years we’ve released new features that have expanded the options for rapid, secure dissemination of geospatial data with Google Earth Enterprise (GEE), and with today’s release of GEE 4.0, we’re happy to announce support for two more important capabilities: mobile-based access to GEE systems, and Google Earth Enterprise Portable Solution. We’re also excited to let you know about the latest versions of the Google Earth Enterprise Client and Plug-in.

Mobile Access to your Globes

In February we released a native Google Earth client for Android
to the Android Market. With GEE 4.0, the Android Google Earth client has been updated to support direct connections to customers’ globes, which permits their end-users to view their organization’s 3D globe, including all imagery, terrain, and vector layers, with support for custom vector search.

Google Earth Enterprise Un-Plugged

Some of you might have heard during a recent Directions Media Webinar that many of our GEE customers need to provide their end users with access to geospatial data for situational awareness, even when those users are in environments with limited or no Internet connectivity. To support this, GEE 4.0 introduces a new feature that permits authenticated end users to extract portions of a published GEE globe -- including all imagery, terrain, vectors, KMLs, and search -- and serve the data locally from their own laptops or other storage devices using a native, cross-platform, light-weight Portable Earth System.

Check out this video to see how the portable capability works.

Google Earth Enterprise Client 5.2
GEE 4.0 also has full support for the new Google Earth 5.2 client, with its many great new features, such as elevation profiles, native MGRS support, client-side data regionation, and the new embedded web-browser.

Google Earth Plug-in Updates
In addition to performance improvements, the latest release of the Google Earth Plugin includes support for historical imagery databases and the ability to connect to multiple globes simultaneously.

Existing customers can find GEE 4.0 upgrade information by logging into the Google Enterprise Support Portal.

BlueSpace and Google Earth Enterprise: taking visualization to the skies

Editor's Note: Justin Marston is the CEO of BlueSpace, an enterprise software company focused on the defense and intelligence communities. BlueSpace has built a next generation command and control application using their security middleware and Google Earth Enterprise. They are currently showcasing it as part of the Coalition Warrior Interoperability Demonstration (an international "war game" exercise) with support from a government agency. The BlueSpace app showcases just how far you can take Google Earth Enterprise as a visualization environment.

Geospatial visualization of multiple streams of data has been critical to the defense and intelligence communities for a long time. Whether it’s showing aircraft flying around, soldiers taking a hill or different types of intelligence – seeing it on a map has been key to understanding a conflict.

In the second World War, the allies used maps with little models to show units, and moved them with poles to update their locations. With modern radar and GPS systems, things are a bit more sophisticated, but much of the mapping functionality has lagged behind. Many of the currently deployed command and control (C2) systems use flat, two-color vector maps with triangles showing units.

Visualization of AWACS plane in Google Earth

BlueSpace and AWACS
Before BlueSpace engaged them, AWACS was already actively working with 3D visualization. AWACS is the US Air Force Airborne Warning and Control System: a forward deployed radar platform (the planes with big spinning discs on top). The vision of the AWACS program has been to move away from a black screen with green triangles on it, and move towards a more visually rich C2 environment for operators that can show the terrain in which they are working.

How has BlueSpace helped? Well, we have focused on two problems – high quality, real-time visualizations and creating a Unified Operating Picture.

High Quality, Real-time Visualizations
The first problem is creating a much more "real" view of the battle theater, with 3D models moving around in real-time based on input data feeds giving latitude and longitude references for units. Our design goal was to create something more like a real-time video game using Google Earth's richness of graphics and capabilities.

BlueSpace is demonstrating its Multi-Level Security Command and Control (MLS C2) application at 5 different locations for the Coalition Warrior Interoperability Demonstration (CWID), a joint exercise between the US, UK, Canada, Australia and NATO (among others) to help find and prove technologies and systems that can help better orchestrate coalition warfare. For the exercise, BlueSpace worked with its partners to model around 100 units including aircraft, ground units and boats and of these units move around in real-time based on data feeds being fed to the application.

You can take a look at some of the interface, captured from Google Earth in this unclassified video: http://www.bluespace.com/mlsc2.html

A Unified Operating Picture
Wars used to be fought by relatively small numbers of allies, with each nation focused on a particular theater. As warfare has evolved over the last two decades, the reach of aircraft, missiles, satellites etc. have blurred lines between the different services and often between nations.

MLS C2 User Interface using Google Earth Enterprise
for geospatial visualization of ground, air and sea units

Right now, the NATO configuration of the AWACS planes can have up to 14 different screens on each AWACS aircraft – one for the US aircraft, one for the British, one for the Canadian, one for the German, etc. So when something new comes up on radar, operators may have to look at up to 14 screens to figure out what is going on.

BlueSpace has taken these separate pictures and consolidated them into a single Unified Operating Picture (UOP) that spans all the different networks, providing one Google Earth environment, with all the units in that environment, no matter which nation or service they serve. This means an operator on an AWACS plane only has to look at one screen to see what is happening – a vast improvement.

Google Earth's extensive capabilities allow an operator to fully utilize this unified operating picture to see terrain, roads, etc. in their relation to the plotted units. In addition, Google Earth's full camera controls provide the viewing flexibility necessary to interact with those units.

BlueSpace and Google
We see a great future for Google Earth Enterprise in our C2 system. Being able to see the helicopter, visually recognize its type immediately and see which mountains are next to it when the pilot calls in, “I’m taking fire from the ridge on the left” makes a big difference in a real fight. Doing all of that across many different security domains in a Unified Operating Picture that spans multiple networks – that’s a game changing capability.
